Purchasing Assistant

Description:Assists with the coordination of Agency purchasing activities. Completes printing jobs for the Agency, and delivers mail when needed.
Duties:1.0 Receives requests for supplies, materials and equipment.
1.1 1.1 Routinely receives requisitions, analyzes each item for quantity, specifications and delivery requirements.
1.2 1.2 Strives to be polite and willing to help; has the ability to successfully deal with co-workers; implying willingness and capacity to work harmoniously with others in attaining established agency objectives.
1.3 1.3 Regularly demonstrates effective social and communicative ability with employees; conveys instructions, directions and information appropriately.

2.0 Assists with the Central Supply functions.
2.1 Ensures that supplies and materials are maintained and secured according to established guidelines developed for the care and security of supplies and materials.
2.2 1.4 As necessary, receives stock supplies and verifies that proper supplies have been received in the ordered quantity and acknowledges receipt of items in a database.
2.3 Prints all Agency forms in accordance to the policy and procedures put forth by the Purchasing Agent and the Medical Records Program Manager.

3.0 Performs clerical activities inherent to the day-to-day operations of Central Supply.
3.1 Demonstrates a high degree of accuracy and attention to detail at all times.
3.2 Consistently ensures that all orders are recorded promptly
3.3 Responds to changes in work schedule as necessary; continually uses time to departmental advantage-inventory, clerical duties, ordering and special projects.
3.4 1.5 Seeks guidance as necessary for performance of duties; always asks appropriate questions when in doubt.

4.0 Transports, on a scheduled and random basis, Agency interoffice mail, parcels, materials, supplies, and articles when regular courier is unavailable
4.1 Implements, on a daily basis, a schedule for the delivery of interoffice mail, parcels, materials, supplies, and articles
4.2 Sorts items at point of origin to ensure proper delivery in the most expedious manner
4.3 Maintains daily communication with Central Supply for the pick-up and delivery of supplies and articles
4.4 Coordinates and arranges with Pharmacy Services for the pick-up and delivery of pharmaceuticals on a weekly basis; receipt for pharmaceuticals delivered is signed and returned to Pharmacy Services.
4.5 Maintains available for special transports and/or deliveries
4.6 Demonstrates a high degree of accuracy and attention to detail at all times

5.0 Responsible for the appearance, operation, maintenance and service of the vehicle
5.1 Vehicle is clean, both inside and outside.
5.2 Maintains activity, mileage, repairs and service records in accordance with the Agency’s Transportation Policies and Procedures
5.3 Assures that vehicle is in safe operation condition; reports the need for vehicle adjustments and repairs, as necessary
5.4 Verbalizes, understands and adheres to Agency Transportation Policies and Procedures and safety practices
5.5 Maintains current and valid driver’s license.
Qualifications:High School Diploma or equivalent. Must have a valid and current Florida Driver's License with no more than 6 points in the past 3 years and be able to lift up to 60 lbs. Must be well organized and computer literate (preferably Excel and Word). Able to follow written/oral instructions.
